We've tried to write the fairest, clearest terms we can — no traps, and no small print designed to catch you out. Every section starts with a plain-English summary, but the full text of each section is what counts.

The short version

If you only read one thing, read this. The full terms below say the same, in more detail.

  • It's your data.You own everything you put into LetResolve. We only use it to run the service for you.
  • Be decent.Use LetResolve lawfully and kindly — nothing illegal, hateful or invasive of anyone's privacy.
  • Please don't copy us.Don't copy, resell or reverse-engineer LetResolve, or try to get round its security.
  • Leave whenever you like.No contracts, no exit fees, and you can take all your data with you.
  • No nasty surprises.If anything important changes, we'll tell you at least 30 days before it happens.
  • Tell us what you think.We love feedback — good, bad or brilliant. A real person reads all of it.

1About these terms

In short: these terms are the agreement between you and us when you use LetResolve. They're written to be read.

LetResolve is a service for recording and resolving property repairs. It's made up of this website (letresolve.com) and the LetResolve web app — together, “LetResolve” or “the service”. LetResolve is run by [legal entity name and registered address] (“we”, “us”, “our”), in the United Kingdom.

By creating an account or using LetResolve, you agree to these terms and to our Privacy Policy, which explains how we look after personal information. If you're using LetResolve on behalf of a business — as most landlords and letting agents are — you're confirming that you're allowed to accept these terms for it, and “you” includes that business.

2Your account

In short: keep your sign-in safe, keep your details up to date, and remember you're responsible for the people you invite.

  • You need to be 18 or over to create an account.
  • Please give accurate details and keep them up to date, so we can reach you about your account.
  • Sign-in is provided by Microsoft Entra on our behalf. Keep your sign-in details to yourself, and tell us straight away at hello@letresolve.com if you think someone else has got into your account.
  • If you're an account Owner, you decide who to invite and which role they get — Owner, Manager or Viewer. People you invite act on your behalf, so you're responsible for what they do in your account. Invite people you trust, and remove their access when they no longer need it. Their history stays in your audit log.

3Using LetResolve decently

In short: use LetResolve for what it's for — keeping track of property repairs — and do it lawfully and kindly.

We expect everyone to use LetResolve in a moral and lawful way. Please don't use it to upload, store or share:

  • anything illegal, or anything that promotes illegal activity;
  • sexual, violent, hateful, abusive, threatening or discriminatory material;
  • anything that infringes someone else's copyright, privacy or other rights;
  • personal information you don't have a lawful reason to hold;
  • viruses, malware or anything else designed to cause harm.

And please don't use LetResolve to harass or intimidate tenants or anyone else, to discriminate against people, or to build a case in bad faith.

Photograph the fault, not the family

Photos of people's homes deserve care. Capture what's needed to record and fix the problem, and avoid photographing people, personal belongings or private documents wherever you can.

If content breaks these rules, we may remove it, and for serious or repeated problems we may suspend the account. Unless it's urgent or the law prevents us, we'll explain why and give you a fair chance to put things right first.

4Your content and your data

In short: it's yours. We just look after it for you.

  • Everything you add to LetResolve — records, notes, photos and documents (“your content”) — belongs to you, or to whoever you got it from.
  • You give us permission to store, process, back up and display your content only as far as we need to run LetResolve for you and the people you invite. That permission ends when your content is deleted, allowing for backups to expire as our Privacy Policy explains.
  • You're responsible for having the right to upload your content, including any personal information about tenants or other people.
  • We never sell your content, share it for advertising, or use it to train AI models.
  • You can export your content at any time, in formats you can open without us.

5Looking after tenants' data

In short: when you store other people's details in LetResolve, we handle them only on your instructions, and we protect them as carefully as you would.

When you add personal information about other people — such as tenants' names and contact details, or photos of their homes — you are the “controller” of that information under UK data protection law, and we are your “processor”. That means we will:

  • process it only to provide LetResolve, and only on your documented instructions — using LetResolve is your instruction;
  • make sure everyone who can access it is bound to keep it confidential;
  • keep it secure with appropriate technical and organisational measures;
  • use only the sub-processors listed in our Privacy Policy, under contracts with the same protections, and tell you before we add or replace one so you can object;
  • help you respond when someone exercises their data protection rights, and help you meet your duties on security, breach notification and impact assessments;
  • tell you without undue delay if we become aware of a personal data breach affecting your data;
  • delete or return the data when you close your account, unless the law requires us to keep it;
  • give you the information you need to show these duties are being met.

This section is our data processing agreement under Article 28 of the UK GDPR. What data is involved, why, and for how long is set out in our Privacy Policy.

6What we provide

In short: we'll work hard to keep LetResolve safe, available and backed up — but no online service is perfect, and we won't pretend otherwise.

  • We'll provide LetResolve with reasonable skill and care, and work to keep it secure, available and backed up.
  • LetResolve runs on Microsoft Azure, using services that scale automatically. To keep prices low, parts of it rest when nobody's using them, so the first visit after a quiet spell can take a few seconds.
  • Occasionally we'll need to pause the service for maintenance or updates. We'll aim for quiet times and give notice of planned work where we can.
  • We'll keep improving LetResolve. If we ever plan to remove a feature you rely on, or make a big change, we'll tell you in advance.
  • We don't currently offer a guaranteed level of uptime (a “service level agreement”).
  • LetResolve helps you keep good records, but it doesn't replace your own judgement or your legal responsibilities as a landlord or agent. For anything critical, keep your own copies too — you can export everything at any time.

7Plans, payment and cancelling

In short: pay monthly, change or cancel any time, no exit fees.

  • The Simple plan is free. Standard and Premium are paid monthly in advance, at the prices on our pricing page. Plans differ only in file storage and the number of AI questions you can ask each month — every plan has every feature.
  • You can upgrade, downgrade or cancel at any time in your account. If you cancel, you won't be charged again, and your paid plan carries on until the end of the period you've already paid for.
  • If you go over your plan's storage, we won't delete anything. You just won't be able to add new files until you make space or move up a plan. Unused AI questions don't carry over to the next month.
  • If we change our prices, we'll give you at least 30 days' notice, and the new price will only apply from your first billing date after that notice. You can cancel before it takes effect.
  • Payments are handled securely by [payment provider]. We never see or store your full card details.
  • If something has gone wrong and you think a refund is fair, talk to us — we're reasonable people. This doesn't affect any legal right you have to a refund.

8Ask LetResolve (AI)

In short: helpful and fast — but it can be wrong, and it isn't legal advice.

  • Ask LetResolve answers questions using your own records and general information. AI can make mistakes, so please check anything important — especially dates, figures, and anything you plan to rely on.
  • Answers are information, not legal, financial or other professional advice. For legal questions — such as your obligations around damp and mould — check the official guidance or speak to a qualified adviser.
  • Your questions and records are processed by Microsoft's Azure AI services on our behalf. They aren't used to train AI models, by us or by Microsoft.
  • The rules in section 3 apply to the questions you ask, too.

9Please don't copy us

In short: LetResolve is ours — please don't copy it, take it apart or try to get round it.

The LetResolve name, logo, design, software and content (apart from your content) belong to us or to the people we license them from. While you have an account, you're welcome to use LetResolve to manage your properties. Please don't:

  • copy, modify, sell, rent or sublicense LetResolve, or use it to build a competing product;
  • reverse-engineer, decompile or disassemble it, or try to extract its source code, except where the law specifically allows you to;
  • scrape it, or access it with bots or other automated tools, except through features we provide;
  • try to get round its security, the separation between accounts, or plan limits, or test it for weaknesses without our permission;
  • use the LetResolve name or logo in a way that suggests we endorse you.

Found a security weakness? Thank you.

Please tell us at security@letresolve.com and give us a reasonable chance to fix it before telling anyone else. We won't take action against anyone who reports a problem this way in good faith, without accessing other people's data or disrupting the service.

10Feedback

In short: we love it. Please send it.

We'd love to hear what you think — ideas, problems, things that annoy you and things that delight you. Email hello@letresolve.com any time; a real person reads every message.

If you send us a suggestion, we may use it to improve LetResolve without owing you anything for it. But we'll always be grateful, and we'll try to let you know when your idea makes it in.

11Leaving, and ending accounts

In short: you can leave any time and take your data with you. If we ever have to end things, we'll warn you first.

  • You can close your account at any time in your account settings. Before you go, download your data — every record and every file.
  • We may suspend or close an account that seriously or repeatedly breaks these terms, or where the law requires us to. Except in urgent cases — such as illegal content, or a threat to the security of LetResolve or its users — we'll give you notice first and a chance to download your data.
  • If we ever decide to stop running LetResolve altogether, we'll give you at least 60 days' notice, so you have time to export everything.
  • After an account closes, we delete its data as described in our Privacy Policy.
  • The parts of these terms that are meant to keep applying after an account closes — such as sections 9, 12 and 15 — will do so.

12Our responsibility to you

In short: we take responsibility for our mistakes, within sensible limits that are spelled out here rather than hidden.

  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can't be limited by law.
  • If you're using LetResolve as a consumer, you have legal rights that nothing in these terms takes away.
  • We're not responsible for losses that weren't reasonably foreseeable when you started using LetResolve, or for business losses such as lost profits, revenue, rent or opportunities.
  • We're not responsible for delays or failures caused by events outside our reasonable control, such as a wide-scale outage at our hosting provider. If one happens, we'll tell you and do what we can to limit the impact.
  • Otherwise, our total liability to you in any 12-month period is limited to the greater of £100 or the total you've paid us in that period.

13Microsoft Azure

In short: LetResolve runs on Microsoft's cloud. Microsoft's terms cover how they serve us; these terms cover how we serve you.

LetResolve is built on Microsoft Azure, sign-in is provided by Microsoft Entra, and Ask LetResolve uses Microsoft's Azure AI services. Microsoft provides those services to us under its own agreements. You don't need to accept Microsoft's terms to use LetResolve, but if you'd like to see the commitments that sit behind ours, they're here:

14Changes to these terms

In short: if anything important changes, you'll hear it from us first.

We may update these terms as LetResolve grows or the law changes. If a change materially affects you, we'll tell you at least 30 days before it takes effect — in the app or by email — and summarise what's changed in plain English. If you don't agree with a change, you can close your account before it takes effect.

Small fixes, like typos or clearer wording that doesn't change the meaning, can happen at any time. The date at the top of this page always shows the latest version.

15The legal bits

In short: UK law applies, and we'd always rather talk first.

  • These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
  • If something goes wrong, please contact us first. Most problems can be sorted out with a conversation.
  • If a court decides that part of these terms can't be enforced, the rest still applies.
  • These terms, together with our Privacy Policy, are the whole agreement between you and us about LetResolve.
  • We may transfer this agreement to someone who takes over LetResolve. We'll tell you if that happens, and it won't reduce your rights.
  • If we don't enforce something straight away, we can still do so later.
